This is precisely why PaperOffice has incorporated a search function into its document management system, which delivers results in almost real time.

Live keyword search at PaperOffice

It is the search engine integrated in PaperOffice, the live keyword search. With it, all files, documents and other information stored in PaperOffice can be found quickly.

While in conventional search functions, such as in operating systems, an algorithm works usually in a certain order querying the memory of the computer for the entered search word; the PaperOffice software works with a high-performance algorithm, which is designed so that all available source media are queried simultaneously for the search term.
For this to work, the PaperOffice database has intelligent text indexing.

Even when documents are being recorded, their contents are indexed by means of raw text decomposition. In simple terms, the contents are written word by word into a special register, the algorithm again recognizing and equally accommodating individual words in a word combination.

Now, when a search query is entered into the PaperOffice search engine, it looks first in the register by the initials. For example, if you search for “Invoice”, all documents will be immediately displayed with that word. The search algorithm simply has to display only the corresponding part of the register on the display.

Refine the search

With the advanced search it is possible to narrow down the results, for example by date or user as well as by other keywords. The search function of PaperOffice lists both folder or document names and the searched words within full texts. To make them easy to find in the text, they are highlighted in yellow.
The possibility of searching using the recently added documents, emails or folders is quite handy. You do not even have to enter a search term, so the document that was worked on the day before can be immediately invoked to continue working on it.
